Privacy Policy — Fleet CRM Driver App
Last updated: 15 October 2026
This policy explains how the Fleet CRM driver app (“the App”) collects, uses and protects your personal information.
1. Who we are
The App is provided by [REVIEW: company legal name] (“we”, “us”), Unit 8, Elder Way, Waterside Drive, Langley, Slough, Berkshire SL3 6EP, United Kingdom, company number [REVIEW: company number].
The App is used by drivers working for companies that use Fleet CRM to manage their vehicles (“your employer”). Your employer is the data controller for the information about your work: it decides what is collected and why. We act as a data processor on your employer’s behalf. For questions about how your employer uses your data, contact your employer first. You can also contact us at info@berkstechnologies.co.uk.
2. Information we collect
Account and profile
- Name, email address, phone number, profile photo
- Driver details your employer holds: licence number and expiry, home address, emergency contact, depot
Location
- Your device’s precise location (GPS), with speed, direction, accuracy and battery level
- Collected only during your working hours, from shortly before your first collection to shortly after your last delivery, including when the App is closed or not in use, if you allow “Allow all the time”
- Tracking stops automatically when your day’s work is done. No location is collected outside working hours.
Photos and records you create
- Collection and delivery proof photos
- Vehicle check (walkaround) answers, defect reports and photos
- Photo inspection answers and photos
- Odometer readings, fuel gauge levels, and dashboard and fuel gauge photos
- Fuel logs, including receipt and pump photos and the location of the fill-up
- Incident reports, including what happened, location, injuries, police reference, and details of other drivers, vehicles and witnesses you enter
- Vehicle requests (new vehicle, return, swap) and your notes
Device and usage
- Push notification token, an app installation ID, device platform and app version
- When the App is opened or brought back on screen
- Your answers to notifications (for example, accepting a job offer)
Performance
- Job step and timing data used to calculate your driver performance score
3. How we use your information
- To show your jobs, routes, vehicle and documents
- To let your employer see job progress and where vehicles are during working hours
- To record vehicle checks, defects, fuel, mileage and incidents for safety, maintenance and legal compliance
- To send you job, inspection and office notifications
- To keep your account secure and the App working properly
- To calculate performance scores your employer has chosen to use
Lawful basis: your employer’s legitimate interests in managing its fleet and keeping drivers and the public safe; compliance with legal obligations (such as roadworthiness checks); and performance of your employment contract.
We do not sell your personal information, and we do not use it for advertising.
4. Device permissions
| Permission | Why |
|---|---|
| Location (including background) | Share your position with your employer during working hours; attach location to fuel logs and incidents |
| Camera | Take proof, vehicle check, defect, fuel and inspection photos |
| Notifications | Job offers, questions, reminders and office notices |
You can change permissions at any time in your device settings. Some features won’t work without them.
5. Who we share it with
- Your employer and the office staff they authorise
- Service providers that help us run the App:
- [REVIEW: hosting provider]
- Google Firebase, for push notifications
- Google Maps: when you start navigation, the destination is opened in Google Maps, under Google’s own privacy policy
- Authorities, where the law requires it
Text on fuel receipts is read on your device (Google ML Kit). The photo isn’t sent to Google for this.
6. How long we keep it
We keep your information for as long as your employer’s account is active and as your employer instructs, then delete or anonymise it. Typical periods: location history [REVIEW: X] months; vehicle checks, defects and incidents [REVIEW: X] years, per legal requirements. Data held only on your phone is removed when you sign out or uninstall the App.
7. Security
All data is sent over encrypted connections. Access is protected by sign-in tokens that expire regularly. Photos are compressed on your device and stored on secured servers.
8. Your rights
Under UK GDPR you can ask to access, correct or delete your data, object to or restrict its use, and request a copy. Contact your employer or info@berkstechnologies.co.uk. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
9. Children
The App is for working drivers only and isn’t intended for anyone under 18.
10. Changes
We may update this policy. We’ll show the new date above and, for important changes, let you know in the App.
